Wizard's "Buy-Manage-Sell!" Suite is a set of application modules, developed to assist businesses in the management of the purchase, stocking and sale of inventory items, on the Desktop and on PocketPCs[1]. The key functionality of BMS is to separate stock management from the bookkeeping aspects of accounting. For example, a warehouse worker might use BMS to receive items ordered by a purchasing clerk - without needing to have direct access to the accounting system. Similarly the same warehouse worker could package and ship an order to a customer, or conduct a physical count, preparing transactions for posting to the accounting system using BMS, without having the need to directly access the accounting system. THE BASICS
BMS and bar codes
The key to the use of bar codes in an inventory management application is to tie the value encoded in the bar code to an inventory item in the accounting system. BMS enhances this process by providing "look up" capabilities based on up to 4 different attributes of an inventory item. These are the Item ID, UPC/SKU, and for the Manufacturing and Distribution vertical versions of Peachtree, the Purchase UPC/SCC[8] and Sales UPC/SCC[8] fields. By comparison, Peachtree allows searching in most screens only using the Item ID value. Any of these 4 field values can be printed on the bar coded documents generated by BMS. For those items where a manufacturer or supplier provided bar code exists, the value encoded in the bar code can be set in the UPC/SKU field in Peachtree, under the Manage Inventory Items screen. The value can be set by typing in the human readable value from the bar code, or by scanning[9] the value into the field (UPC/SKU, Purchasing UPC/SCC[8], or Sales UPC/SCC[8] ). BMS allows the mixing and matching of these values, providing the ability to have some items found by the UPC/SKU while others are found by Item ID - meaning that the user is provided significant flexibility as to what values are used. For label printing, all items that are selected for printing at one time must have the appropriate value filled in - in other words if the UPC/SKU field will be bar coded, every item that is to be printed must have the UPC/SKU field populated. BMS provides multiple label definitions[10] to allow printing labels with the appropriate values.
BMS uses the enhanced (4 field) look up functionality in all aspects of its operation, including inventory physical count, receiving and shipping; both on the Desktop and on the PocketPC[1] . Any place a bar code can be scanned[9] ; the end user can also type the appropriate value.
Inventory Management
Physical Counts
BMS simplifies the process of conducting physical counts with the inclusion of bar coded physical count sheets. On both the Desktop and PocketPC[1] , the "counter" simply has to count the items and enter the new counted quantity - BMS automatically calculates the adjusting quantity necessary and creates the appropriate transactions to be posted into Peachtree.
Job Charges (Inventory Check-in/Check-Out, on PocketPC[1] only)
For companies that use Jobs (Jobs, Phase Codes, Cost Codes), BMS on the PocketPC[1] allows the ability to adjust stock in and out of inventory and assign the adjustments to a job. For example a company that is building a boat might create a job for that boat and then as construction progresses, inventory items would be withdrawn from inventory to be used for that boat. Unused stock could be returned to the inventory, and the job would be updated accordingly.
Management of Purchasing and Sales - Sales Orders/Invoices, Receiving and Shipping
BMS provides the ability to create new sales orders and sales invoices, optionally with customer specific pricing[3] , receive items into inventory and ship from inventory. Receiving from a purchase order and shipping from a sales order is supported from the desktop or the PocketPC[1] . Both the receiving and shipping processes result in the creation of the appropriate Invoice document (Purchase, Sales) for posting back into the accounting system and are supported with bar-coded reports and labels. Serialized Inventory Support[5] (PocketPC[1] only)
BMS supports serialized items when receiving from an existing purchase order. Conversely BMS supports the shipment of serialized items when shipping from a sales order. Serial number data is pulled from Peachtree and mapped to the receiving or shipping document. When the purchase invoice or sales invoice is posted in Peachtree, the inventory is updated accordingly, and the serial number data is adjusted to indicate the increase or decrease in the stock for the items processed.
Creating Bar Codes and Labels
BMS makes the process of creating bar coded labels simple. It takes nothing but BMS to turn your everyday laser printer into a bar code printer - printing on standard label stock such as the Avery 5160. BMS supports a wide variety of industry standard bar code symbol sets including Code128, UPC-A, EAN-13 and Code39[10] . Purpose-built bar code printers are also available separately. Detailed instructions for creating and printing bar codes are included in the BMS documentation. Out of the box, BMS supports a wide variety of standard label formats, and the end-user designer can be used to customize the output of each type of a label (inventory, purchasing, shipping). The BMS Label Module can be purchased separately if the other inventory management features are not needed.
